Administrative Assistant

Experienced administrator who can manage front desk operations while supporting upper-level staff (Madison, WI)

We're looking for just the right person for this new position in our growing Madison office. Play a key role in the smooth running of office operations while being the face of ADCI as you assist visitors. You would be responsible for front desk operations and varied administrative duties and tasks. Additionally, this position supports VP Madison Operations and VP Business Operations.

responsibility Highlights
  • Perform administrative and clerical tasks for the vice president of Madison operations and support other staff as required
  • Perform routine word processing for all staff, including meeting notes, meeting agendas, and various reports
  • Perform project filing and other miscellaneous filing
  • Assist architectural staff with issuance and distribution of submittal packages to the governing authorities
  • Assist architectural staff with preparation of project component submittals to governing authorities and tracking the status
  • Prepare and submit project compliance statements to the governing authorities
  • Prepare and ship packages via appropriate vendor; process incoming and outgoing mail and distribute to staff
  • Coordinate workload with our director of administrative services to ensure high productivity
  • Coordinate office supply ordering with Lake Delton administrative staff for efficiency
  • Schedule meetings and conference calls as requested; monitor conference room; prepare and clean conference room before/after meetings and restock supplies; arrange for delivered food for meetings
  • Manage office supplies, reordering as required, including snacks and beverages for conference room
  • Assist the director of information technology with maintenance of office equipment; ensure equipment is loaded with consumables and ready to operate
  • High school diploma or equivalent
  • Some prior administrative experience
  • Excellent written, verbal and interpersonal communication skills
  • Solid PC skills and a demonstrated knowledge of Microsoft Office products
  • Ability to work between office hours of 7:30 am to 5:00 pm Monday through Thursday and 8:00 am through 12:00 pm (noon) on Friday
  • Able to work effectively both independently and as a team member with a client-centric and positive attitude
